Paying for your conference travel

Read these sentences first!

If you are employed at any University campus (UNO, UNMC, UNL, UNK), travel becomes even more complicated than it already is. Contact the Psychology travel assistant BEFORE YOU MAKE ANY PLANS!

Sometimes there's a little cash available.

The College of Arts and Sciences dean's office, the Office of Graduate Studies and Research, and the Office of Research and Creative Activity (ORCA) may offer funding assistance to students who have been accepted to present at a conference. You qualify as a presenter if you are the primary presenter or co-presenter; however, you only qualify for funding from either of these offices for one conference per year (July 1-June 30).

Of course, there are forms to fill out.

To be considered for funding from any of the above, you need to submit applications.

It's "pay now, get cash later". . .unless you work on any campus.

If receive travel funding from UNO, you pay all of your trip expenses yourself and submit receipts after the conference ends to the Psychology department. We'll get you reimbursed.

NOTE: If you get funding for an amount that exceeds your total travel expenses, you will not get cash. You only get reimbursement for up to the amount of your total funding or the amount of your receipts, whichever is less.

EXAMPLE: You receive $1,200 of funding from various sources. Your total expenses paid out of pocket are $1,000. You will only be reimbursed for $1,000.

IMPORTANT: Post-conference deadlines

Everything must be turned in 30-60 days after the end of the conference, or you will lose funding. These are rules of other departments, we have no control over this.

  • Summaries must be turned in within 30 days.
  • Requests for reimbursement must be completed within 60 days.
    • The 60 days rule includes ALL OF THE STEPS required in the process, and it takes 1-2 weeks to complete the process. Plan accordingly.

Ever notice how important things tend to be repeated? Here's one of those things.

The exception to the above section is if you work at any University campus. Contact the Psychology travel assistant before you do anything.

How can I expect payment?

TYPICALLY, you'll receive a check in the mail. The check will be from the Nebraska Administrative Services, State Accounting Division and it looks like this. It takes anywhere from 3-4 weeks after you turn your receipts in before you'll see the money.

What to do and when to do it. . .

After you've been accepted to present at a conference. . .

  1. Tell the Psychology travel assistant when and where you plan to travel.
  2. Tell the Psychology travel assistant if you are currently employed on ANY University campus (UNO, UNMC, UNL, UNK).
  3. If you have an email other than your University email that you check more frequently, give the email address to the Psychology travel assistant.
  4. If somone other than UNO College of Arts and Sciences or UNO Graduate Studies office is giving you funding, tell the Psychology travel assistant. Examples include:
    • UNMC/MMI funding;
    • UNO Office of Research and Creative Activity funding;
    • Any faculty from any campus offering to help you pay for travel from their own sources.
      • In this case, give the faculty name to the Psychology travel assistant
  5. Submit applications for funding (click the three previous words to get to the application page). Include the below with your application:
    • Acceptance email from the conference organizers.
    • Abstract of your presentation.
  6. Make travel arrangements, pay your conference registration, book your lodging, etc.
  7. READ YOUR EMAILS!!!!!!!

While on your trip. . .

  1. Collect itemized receipts (examples of itemized can be found here). As of 2023, you do NOT need to keep meal receipts.

After your trip ends. . .

  1. Submit your trip summary within 30 days of end of conference (required). Upload one copy to NuRamp, and send one copy to Psychology travel assistant.
  2. Submit your itemized receipts to the Psychology travel assistant.
