Discover essential guidelines for using AI responsibly in academia, focusing on integrity, transparency, access, and literacy to promote ethical practices.

Integrity

  • Avoid inputting medium or high-risk information into AI tools; follow all data protection policies (EM 42 and FERPA) and avoid exposing sensitive or personal information. Ensure all data is deidentified when using in an AI tool.
  • Ensure human oversight for administrative decisions that involve AI.
  • Refrain from using AI to complete evaluations, reviews, etc. without prior consent from faculty, staff, and/or students. Allow them to opt out of having information fed into any AI tool.
  • Use AI as a tool or collaborative partner, not as a replacement for all work tasks.
  • Regularly evaluate AI use to prevent an overreliance on the tool.
  • Prioritize using vetted UNO enterprise tools when using AI for work purposes.
  • Identify and address any unethical or inappropriate use of AI within university operations.
  • Prioritize using AI tools in ways that promote inclusivity and avoid reinforcing biased or systemic inequalities.
  • Review AI-generated recommendations, decisions, and content for potential bias or inaccuracies.

Transparency

  • Clearly state when AI is used as a support for decision-making, content creation, or communication.
  • Disclose to all staff, faculty, and students if there is planned AI use in evaluations, reviews, etc.
  • Disclose when responses are AI generated and when to reach out to individuals for assistance.
  • Acknowledge potential risks and limitations of AI tools; if using AI as a chatbot, include a disclaimer stating that AI-responses can sometimes be incorrect or inaccurate.
  • Document guidelines, policies, and workflows related to AI implementation in work.

Access

  • Use AI to improve the accessibility of campus materials, such as creating screen-reader friendly content or multilingual forms.
  • Advocate for AI tools that prioritize inclusivity and fairness in administrative workflows.
  • Provide opportunities for staff interested in incorporating AI into their work to use and learn how to use AI.
  • Participate in AI Pilots on campus to explore AI use.

AI Literacy

  • Participate in university provided and external training on how AI can enhance efficiency while maintaining ethical standards.
  • Always think critically about AI output, verifying sources and content as truthful.
  • Use AI tools responsibly to automate repetitive tasks while critically assessing the quality of outputs.
  • Prioritize discussions about the benefits and limitations of AI in addition to the ethics of using AI in staff roles at the university.
